articles lifestyle Jun 13, 2020

If you were challenged to only check your email twice per day, do you think you could do it? Probably, but that’s not the catch. Along with only checking your email twice per day, you have to complete everything you have to do within 30 minutes. Will you survive?

When it comes to productivity improvement, people need to see how they are spending their time. What are they spending their time on? When you know what is keeping you busy the whole day, you’ll see how you can manage your time better.

If you wish you had more time in a day to get things done, you’re not handling your time well. That’s why it feels like you need more.

Whenever you think of how to become more productive, you can’t help but wonder what you are doing wrong.

Top Tips To Limit Email Checking

The email challenge is not about rushing through your work emails. Rather, it is about optimizing your efficiency to improve your productivity.

Participating in this challenge will help you limit your distractions. When you purposely limit distractions, you can focus more on what you need to do and be mindful of your time.

Emails are necessary for your life. The goal is not to wipe it out of your system altogether. Rather, it is about utilizing techniques that could help you become more efficient.

How do you do it then?

The Challenge

Are you used to check your mail the first thing in the morning, even before you get out of bed? You have to recognize that doing so will only lead to procrastination. It may feel like you are productive, but you really are not.

There are several email management tools available that can help you postpone thinking about work and actually getting things done. If you also check your email whenever you feel like your work is getting boring, then that’s not a good sign, either.

What do you think would happen if you don’t check your email for a week? What would happen if you only checked your email once a day?

Take on the challenge and find out for yourself.

Make sure to limit your time

You can’t dedicate your whole day to your email. Instead, set a strict but attainable time limit, like only 15 minutes. Next, only check your emails during certain times in the day. Perhaps check it after the first hour of your workday, after lunch, and then an hour before you go home. When you get these things straight, it becomes easier for you to discipline yourself

Don’t give in to the urge

You have been so used to checking your mail from time to time that giving it up will be hard. But you know you have to. When checking your email is taking longer than 20 minutes at a time, then you seriously have a time management problem.

Limit your distractions

Distractions like checking your email are not helping you become more efficient at work. In fact, it is taking so much time from your work that you end up with the more unfinished tasks. Limit those distractions and get yourself working more efficiently.

Take a real break

Checking your email whenever you feel like taking a break from work is not taking a break at all. Remember that checking your mail is part of your day to day work. So if you want to take a break, then take a break. Use it to eat or have coffee. You can also use it to simply sit still and meditate.

Emails do not define your life

Don’t let your life revolve around work emails. They are necessary, but it doesn’t mean that they should be the focus of your life. There is so much more you can do. And you can be so much more efficient too.

Email checking is necessary, but it should not fill up the entire day. There are so many other tasks that you can work on and see yourself improve. When you limit the time you use to spend checking your email, you are giving yourself more time to do everything else.

How To Process Emails In 20 Minutes

Have you ever wondered how to make your day productive? Did you ever think it was possible to cut off some time checking the mails and using it to do something else?

You might be too happy to know that you can do email checking in twenty minutes or less. How do you do it?

Tip 1: Set the timer

Only limit yourself to checking emails within 20 minutes at a time. You cannot go more than that. Stay within the 20 minutes. It will be hard in the beginning, but you will get used to it.

Tip 2: Process the email from top to bottom

Look into the details of each email and move along when it does not ask you to do something. Deal with it completely, and don’t skip on any item. This will ensure you have covered everything.

Tip 3: Take action

Whether you decide to delete it, archive it, or reply to it, you need to take action. You cannot allow your emails to sit there. The longer they are there unattended, the worse it will be for you.

Tip 4: Put them on the to-do list

For emails that you seriously need to work on, put them in your to-do list. A simple reply may not be enough, so go ahead and make it a separate task you can do later.

Tip 5: Always be mindful

Live in the moment. When you become more mindful of what you do, it can be easier to get things done when you need to.
